Privacy and cookie statement Ensured B.V.

Ensured B.V. (hereinafter: Ensured) considers careful handling of personal data of great importance. We carefully process and adequately protect personal data. We hereby adhere to the requirements set by the General Data Protection Regulation (GDPR). This privacy statement describes which personal data we collect and use and for what purpose in case we are the controller.

We recommend you to carefully read this privacy statement.

Processing of data

By using our website, you leave certain (personal) data with us. Below we explain which data that is and for which purposes we process it.

Use of cookies

Our website uses cookies. A cookie is a file that is sent along with website pages. These files are stored by your browser. We use cookies to:

• enable website functionality (technical or functional cookies stored per session);
• analyze use of the website and check the country the website was visited from. Based on this information, we will improve the website or show the correct website (analytical cookies stored per session).

We do not need permission for the cookies we use, because they are necessary for the website to function. The purely analytical cookies are privacy-friendly. These cookies are therefore loaded by default when visiting our website. You are free to disable cookies through the browser. Please keep in mind that it is then no longer possible to visit our (full) website. Orders

If you are interested in one of our products, we will forward you to the Xolphin B.V website. Xolphin handles orders. When the order with Xolphin is completed, Xolphin will provide us with the requested data. We then ensure the agreement is executed and we are responsible for issuing the product. Xolphin and Ensured jointly determine the purpose. This involves processing personal data. Xolphin is the reseller, Ensured is the supplier. If you have questions about your personal data or if you want to make use of your rights, you can contact both Xolphin and Ensured. Please consult the Xolphin privacy statement in case you would like to know how Xolphin handles your personal data. Data used for issuing the product is stored for up to 7 years after issuance.

Contact

If you contact us, for example by means of a contact form on the website or an email, (personal) data you provide will be saved. This data is saved in order to answer your question, or to execute or prepare for initializing an agreement. The data may include:

• Contact details
• Timestamp
• The order to which the contact relates
• Any additional information you have provided
• Voice logs

We save this data so we are able to answer the question asked or process the information in the form or email. This information will be stored in your account for up to 7 years after product expiration.

Support

Due to the technical nature of our products, some help may sometimes be needed during installation. When you contact us for help, we will ask you to provide us with some technical data so we can offer the right support. In case an issue cannot be resolved by email or by telephone, we may request your permission to use TeamViewer. TeamViewer is a third-party program that allows us to view your screen remotely. By using TeamViewer, it is possible that we come across personal data on your screen. Naturally, we will not use this personal data when it is not necessary to provide you with the requested support. We will not store the data that we encounter. If you withdraw your permission, which is possible at any time, we will cease to use TeamViewer immediately.

Security

We use strict security procedures, among others to prevent unauthorized persons from gaining access to, misusing or providing personal data or being modified or damaged. We use secure connections with which all information sent to and from our server is encrypted. We also use:

• Physical security through locks on doors and safes, controlled access to buildings and facilities, camera surveillance and safe destruction of information on paper.
• Technical security through the use of antivirus, encryption and monitoring of systems, servers and data centres.
• Certification in accordance with ISO 27001:2013, ISO 9001:2015 and WebTrust standards.

Transfer of personal data

We will not provide your personal data to third parties, unless this is necessary to execute the agreement between you and Ensured, if you have given us permission to do so, if this is legally required, or if we have a justified interest in doing so. In the event of suspecting fraud or misuse of our website, we may hand over personal data to competent authorities.

We do not allow service providers to share data or use it for anything other than providing us with their services. We make use of services provided by third parties. These third parties process your personal data as ordered by us. These third parties are:

• IT service providers;
  • ISPs, internet and telephone providers.

We are familiar with the judgment of the Court of Justice of the EU of 16 July 2020 with implications for the transfer of personal data. We are currently investigating how to resolve this. We highly value privacy and try to do everything we can to find an appropriate solution. If we have a suitable solution, we will inform you via this privacy policy.

The organisation

Due to internal administrative purposes, we have chosen to use one order system. As such, as an Ensured customer, your personal data and company data may be visible to employees of other entities within the organization, such as Xolphin B.V. These employees only gain access to your data to the extent that it is necessary to perform their duties. Ensured and other entities within the organization have a justified financial, security-technical and practical interest in this. Naturally, all employees within the organization handle your data with care, and other entities will not use your data for other purposes such as commercial purposes, without there being an explicit need and without informing you of this. Please contact us in case you object to this method.

Third party websites

This privacy and cookie statement does not apply to third-party websites that are linked to this website with links. We cannot guarantee these third parties will handle your personal data in a reliable or safe manner. We recommend that you read the privacy and cookie statement of these websites before using these websites.

Privacy and Cookie Statement Changes

We have the right to make changes to this statement. We advise you to consult this statement regularly so that you are aware of these changes.

Your rights

You have the following rights:

• Get an explanation of which personal data we store and what we do with it;
• Access to the precise personal data that we store;
• The correction of errors;
• Having us remove (outdated) personal data;
• Withdrawal of permission;
• Limiting data processing;
• Receive your personal data in a digitally readable standard format in order to transfer it;
• Object to a specific use;
• The right to submit a complaint to the Dutch Data Protection Authority.

We will ask you to identify yourself before such requests are processed. We will inform you in writing within four weeks of receiving the request. However, this period may be extended for reasons related to the specific rights of data subjects or the complexity of the request. If we extend this period, we will inform you of this in time.
